Manager Accounting Administration


 

Job Description

We are looking for an organized Accounting and Administrative Manager to manage the financial bookkeeping of our association. The responsibilities include analysing all financial activities, ensuring compliance with accounting and legal requirements, and preparing budgets.

To be successful, you should have a degree in accounting, knowledge of accounting competencies (BE GAAP), and administration skills. Ultimately, you should be able to successfully contribute to the organization's financial efficiency, while maintaining records of expenditure and profits accurately.

The tasks described below are to be performed for the count of EBC and it’s contracting partners (currently the European Brain Foundation and the Belgian Brain Council).

Main areas of responsibility:

- Maintaining and reviewing financial records.

- Ensuring compliance with accounting and tax laws.

- Preparing budgets regularly.

- Monitoring expenditure and profits and providing reports.

- Evaluating internal management systems, procedures, and risks in order to provide recommendations.

- Managing business accounts and preparing financial statements.

- Managing the HR processes.

Example of Daily Tasks:

- Book all transactions on existing accounting software (Winbooks) + in charge of the analytical accounting

- Regular reporting on issues, questions to Executive Director

- Chase missing documents

- Book payroll documents, monthly

- Issue invoices and requests for membership fees

- Managing bank account

- Prepare payment runs

- Prepare audits

- Prepare information for project and annual audits requested by external auditor

- Prepare financial reporting (in general + per project)

- Prepare annual accounts, serve as main contact person, and ensure liaison with the external accountant

- Maintain calendar of legal and tax obligations, preparing calculations and support to the Executive Director in filing VAT and other relevant tax declarations

- Keep official register of Board members up to date

- Propose updates, improvements to finance and administrative policies, when relevant

- Manage funding processes and request to members, partners, and sponsors

- Support team members in complying with internal policies on invoice payments, reimbursement forms, VAT, as well as the internal procurement and sustainable office policy.

Job Requirements:

- A degree in accounting or professional equivalent

- Previous working experience ideally in AISBL

- Knowledge and competency in accounting principles (BE GAAP).

- Proficiency in management systems.

- Administration skills.

- Proficiency in MS Excel and other accounting software

- Very Good Knowledge of English, French and Dutch
